Zoom / Teams : What not to do!

A few of the pitfalls that have been brought to our attention and clients have sought advice on over the last few months:

Part clothed staff / wearing pjs even on internal calls. This is not a wise idea – an employer is entitled to expect you to represent yourself in appropriate attire and failure to do so may result in warnings and disciplinary action especially if you are appearing with clients/customers and suppliers.

Naked/ part clothed housemates –everyone accepts this is a weird time and it is accepted that accidents happen.  However, be warned  an employer would be entitled to look to disciplinary action if it is reasonable to do so, especially if you have had a previous incident and been told.

Screen sharing.  The same standards and protocols still apply: Sharing derogatory images, disclosing confidential information, or using discriminatory language toward a colleague will still have the same repercussions as they would in a physical office setting.

Beware of private chatting.  Zoom and Teams have private chatting options, but be warned – minutes are often stored and can be seen by all conference goers and ill advised comments may be considered bullying or inappropriate and again exposure staff to disciplinary sanction just like in an office setting.

I’ve personally worked with Ortolan Legal’s managing director on a number of transactions. Their legal advice doesn’t come wrapped in multiple caveats; it takes account of the commercial realities businesses face. Technically, they are really capable and they’re also highly personable people to work with. They represent real value for money.
